How to Export Lists from PropStream
You've built a stacked list of 200 high-probability sellers. Now it needs to leave PropStream — to a mail house for direct mail, a dialer for cold calling, or a CRM for pipeline tracking. PropStream supports three export paths: CSV download, skip-trace export, and direct CRM integration. Here's how to use each without losing data, wasting money, or exporting to the wrong format.

The golden rule: filter before you export
Exporting a raw, unfiltered lead-type pull is the most expensive mistake new PropStream users make. A 50,000-property absentee list takes hours to skip trace at $0.12/record — that's $6,000 for phone numbers, most of which belong to owners who can't or won't sell. Exporting that list to a mail house at $0.60/piece is $30,000 in postage, most of which lands in the trash of owners who have no reason to respond.
The correct sequence is non-negotiable: pull → stack → trace → export. Stack your filters first until you have a list of 100-500 high-probability leads. Then skip trace that list ($60 at $0.12/record for 500 records — not $6,000). Then export the enriched CSV to your mail house or dialer. Every step before export reduces cost; every filter you skip multiplies it.
The three export paths
CSV export — for mail houses and spreadsheets
- 1.After building your filtered list, click 'Export' in the top toolbar.
- 2.Select 'CSV' as the format. PropStream exports all visible columns — owner name, property address, mailing address, estimated value, equity %, loan info, and property characteristics.
- 3.Choose your columns before exporting. Uncheck fields you don't need — a lean CSV imports faster into mail-house software and costs less to process.
- 4.Download and open in Excel or Google Sheets. Verify the row count matches your filtered list count in PropStream. If numbers don't match, refresh the list and export again.
- 5.Send to your mail house. Most accept a CSV with at minimum: property address, owner name, mailing address. Include equity % and estimated value — some mail houses use these for variable printing.
Skip-trace export — for dialers and SMS platforms
- 1.Select your filtered list and click 'Skip Trace' in PropStream. Choose your skip-trace provider (PropStream's built-in tracer or a third-party integration).
- 2.Run the skip trace on your full filtered list. Cost varies by provider — expect $0.10–$0.15 per record for phone numbers.
- 3.Once the skip trace completes (usually within hours for lists under 5,000 records), download the enriched CSV. It now includes phone numbers and email addresses alongside the property data.
- 4.Import into your dialer (Mojo, BatchDialer, CallTools) or SMS platform (Launch Control, BatchLeads). Map the phone column to the dialer's phone field and the address column to the property field.
- 5.Segment your list before dialing. Separate by lead type (absentee vs pre-foreclosure), equity tier (30-50% vs 50%+), and recency — different leads need different scripts.
CRM integration — for long-term pipeline management
- 1.PropStream integrates directly with several CRMs including Podio, REIPro, and InvestorFuse. Check 'Integrations' under Settings for your CRM.
- 2.If your CRM is supported, connect it once — PropStream pushes lists directly, no CSV middle step. Each new export updates existing contacts rather than duplicating.
- 3.If your CRM isn't natively supported, export as CSV and use your CRM's bulk-import tool. Map PropStream's column names to your CRM's field names — do this once and save the mapping template.
- 4.Tag every imported contact with: lead source (PropStream), lead type (absentee, pre-foreclosure, etc.), export date, and filter stack used. A year from now, you'll know exactly which filter combinations produced your best deals.
- 5.Set follow-up tasks in your CRM during import. Don't import a list and let it sit — schedule the first outreach step (mail, call, or text) within 48 hours of import.
What goes wrong (and how to prevent it)
Exporting too many columns
Uncheck everything except: property address, owner name, mailing address, equity %, estimated value, phone (if traced). Extra columns bloat the file, slow imports, and confuse mail-house software. Export lean.
Skipping the row-count check
After export, open the CSV and verify the row count matches your PropStream list count. If PropStream shows 347 leads and your CSV has 312 rows, the export was interrupted or filtered mid-download. Re-export.
Not segmenting before export
Don't export one giant CSV of mixed lead types. Export absentee owners separately from pre-foreclosures, and separately from high-equity. Different lead types need different messaging — your mail house or VA can't segment after the fact.
Exporting to a CRM without tags
If your import doesn't include lead-source tags (PropStream, absentee, equity tier, export date), you'll have no way to measure which filter stacks produced your best deals. Tags are free; not having them costs you a year of data.

Minimum: property address, owner name, mailing address, estimated value, equity %. Add these when available: loan balance, last sale date, property type, square footage, bedrooms/bathrooms. For mail houses: mailing address is critical — without it, they can't print. For dialers: phone number (after skip tracing) is the only field that matters. Export the leanest CSV that does the job — extra columns slow down imports and increase processing costs at mail houses.
PropStream allows exports of up to 10,000 records per export on standard plans. For lists larger than 10,000, split by ZIP code or filter tier and export in batches. If you consistently need larger exports, PropStream's higher-tier plans increase the limit. For most investors, a well-stacked list is under 500 records — well within any export limit.
Skip trace after filtering, before exporting. The sequence is: pull lead type → stack filters → skip trace the filtered list → export the enriched CSV. Tracing the raw unfiltered list wastes money — you'll pay for phone numbers on 50,000 records when only 200 are actionable. Always filter first, trace second, export last.
